Who we are

This policy explains how Milo Sarmiento, a licensed insurance and investment advisor operating as M3A Insurance in Burnaby, BC ("I", "we"), handles personal information collected through milosarmiento.com, including its contact forms, the Ava chat assistant and the booking page at booking.milosarmiento.com.

What we collect and why

Contact forms

The contact forms on the home page ask for your name, email address and, depending on the form, your last name (optional), phone number (optional), the type of coverage you are interested in (for example auto, home, life, health or supplemental, or business insurance) and a message. The family financial review form at /ph asks for your first name, email address, preferred language, the topic on your mind (such as life insurance, RESP, RRSP or TFSA, or supporting family in the Philippines) and your consent to be contacted by email; we record that you gave that consent.

When you send a form we also record the date and time, which form you used and your IP address. We use this information to reply to you and follow up about what you asked for. Your submission is:

  • saved on our web server and in Milo's client-message inbox;
  • emailed to Milo and to our website administrator;
  • sent to Milo as a text message containing your name, email or phone, the topic you chose and up to the first 200 characters of your message.

The forms do not ask for health, medical or financial details. Please do not include them in a message; Milo will discuss what is needed with you directly.

Chat assistant (Ava)

The home page has an automated chat assistant, Ava, that answers general questions and can help you book. If you use it, we save the messages you type and Ava's replies, the address of the page you were on, your browser's user agent (which identifies the browser and device type) and a random visitor ID stored in your browser (see below).

Your messages and the conversation so far are sent to Anthropic's Claude AI service to generate Ava's replies. If you give your name, email, phone number or the coverage you are interested in, they are saved with the conversation; the first time you share an email address or phone number, they are also added to Milo's client-message inbox and emailed to Milo and to our website administrator. Questions Ava cannot answer may be saved so the answers can be improved, and common opening questions may be saved, without your contact details, to answer them faster. Please do not share health or financial details in the chat.

Booking an appointment

The "Book an appointment" buttons open booking.milosarmiento.com. It asks for your name, email address, phone number (optional) and anything you would like Milo to know (optional), along with the service and time you choose. Your booking is saved, you receive a confirmation email, Milo and our website administrator receive it by email, Milo receives a text message with your name, contact details, the appointment and up to the first 150 characters of your notes, and it may be added to Milo's Google Calendar.

Server logs

Like most websites, our web server records each request, including your IP address, browser type and the address requested. We use these logs for security and troubleshooting.

Cookies and storage on your device

milosarmiento.com does not set cookies. If you open the chat assistant, it stores a random visitor ID in your browser's local storage so your chats can be recognised as coming from the same browser; it stays until you clear your browser data.

Analytics

We use Klimb, our analytics service at autana.ca, to measure how pages are read. When you hide or close a page, it sends the page's address (never the query string), how far you scrolled, how long the page was visible, whether you came from a Google search results page and, if so, whether you left within 10 seconds without opening another page on the site. It sets no cookies, stores nothing on your device and uses a random ID that is new for every page view. It does not store your IP address or browser details. Raw page views are kept for 90 days. It does nothing if your browser sends a Do Not Track or Global Privacy Control signal.

We do not use Google Analytics or advertising pixels.

Service providers we share data with

  • Anthropic generates the chat assistant's replies and receives your chat messages.
  • Twilio delivers the text-message alerts to Milo about form submissions and bookings.
  • Google. Some of the inboxes that receive form, chat and booking emails are Gmail accounts, so those emails are stored by Google; bookings may be added to Milo's Google Calendar; and Google Fonts loads the site's typefaces from Google's servers, which receive your IP address and browser details.
  • Klimb (autana.ca) provides the page analytics described above.

Emails are sent from our own mail server. Some of these providers are based outside Canada, so your information may be processed and stored in other countries, such as the United States, where it may be accessible to authorities under local law.

We do not sell personal information.

How long we keep it

  • Server logs: deleted after 14 days.
  • Klimb raw page views: 90 days.
  • Everything else, including form submissions, chat conversations and bookings: as long as needed for the purpose it was collected for.

Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you and give you access to it;
  • correct information that is inaccurate or incomplete;
  • withdraw your consent, for example to stop being contacted by email.

Email use the contact form or call (778) 651-0086. We may need to confirm your identity before acting on a request. You can also clear your browser's local storage, or turn on Do Not Track or Global Privacy Control.

If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada. Because we operate in British Columbia, you can also contact the Office of the Information and Privacy Commissioner for British Columbia.

Changes to this policy

We will update this page when our practices change. The date above shows when it was last revised.
